Two office cleaning quotes for the same suite can be hundreds of dollars a month apart, and the cheaper one is not always the better deal. The gap almost always comes from what each company has priced in: how often, how much, and what’s left out. This guide explains what drives office cleaning cost in South Florida, so you can read a quote properly and compare like for like.
The Six Things That Set the Price
1. Square footage
The starting point for every commercial quote. More floor area means more vacuuming, mopping and dusting, and more time per visit. Most companies estimate labor hours from square footage and the type of space, then price the visit from there.
2. Frequency
Nightly cleaning costs more per month than three visits a week, but less per visit, because each clean starts from a cleaner baseline and the crew moves faster. A busy client-facing office usually needs daily service. Most professional suites are fine at three times a week, and low-occupancy space at weekly.
3. Restrooms and breakrooms
Restrooms take more time per square foot than any other part of an office. Two restrooms in a 3,000 square foot suite add more to the price than an extra 1,000 square feet of open-plan desks. Breakrooms with dishwashers, refrigerators and coffee stations add time too.
4. Floor types
Carpet needs vacuuming, LVT and tile need mopping, and polished concrete or stone may need periodic machine work. A quote should say how each floor is cared for and how often. Periodic services like carpet extraction or floor refinishing are usually priced separately.
5. Building access
In a South Florida high-rise, the cleaning crew has to get through after-hours sign-in, badges and a service elevator schedule, and the building usually wants a certificate of insurance naming it and its management company. That paperwork and travel time inside the building is real labor. Low-rise office parks with a key or alarm code are simpler and cheaper to service.
6. Consumables
Toilet paper, paper towels, hand soap and trash liners are either supplied by you or by the cleaning company and billed back. Check which. A quote that looks lower because it leaves consumables out is not lower.
Flat Rate vs. Hourly Billing
Hourly billing looks transparent but puts the risk on you: if the crew is slow, you pay for it. A flat rate per visit, based on a written scope, means the price doesn’t move unless the scope does. At Clearline Works every office cleaning contract is a flat price per visit, agreed after a walkthrough.
How to Compare Quotes Like for Like
- Get the scope in writing. Every task, every room, and how often. “General cleaning” is not a scope.
- Check the frequency on each task. Restrooms nightly and dusting weekly is a different job from everything nightly.
- Ask who supplies consumables and whether they’re marked up.
- Ask for the certificate of insurance before the first visit, not after.
- Ask what happens when something is missed. We come back within 24 hours at no charge. Others charge for a return visit or don’t do them.
- Send each company the same scope. If you’re replacing a cleaner, send your current contract to everyone you ask for a price.
Where You Can Cut Cost Without It Showing
Split the scope by frequency. Trash, restrooms and kitchens nightly or on every visit; desk dusting, glass and detailed floor work weekly. Most offices look the same to staff and visitors, and the monthly bill drops. The opposite also holds: cutting restroom frequency to save money is the change people notice first.
Red Flags in a Low Quote
- No walkthrough. A company that prices an office it hasn’t seen will either cut corners or raise the price later.
- No written scope, or a scope copied from another client.
- No certificate of insurance, or a reluctance to name your building on it.
- Hourly billing with no cap.
Office Cleaning Cost: Common Questions
Is it cheaper to pay a cleaner by the hour?
Only if the crew is fast and the scope never changes. With hourly billing, a slow night or a new crew member costs you more. A flat per-visit price against a written scope puts that risk on the cleaning company, which is where it belongs.
Does nightly cleaning cost five times as much as weekly?
No. Each nightly visit is shorter because the office never gets far from clean, so the monthly cost rises far less than the number of visits does. Weekly cleaning of a busy office often takes longer per visit than the same office cleaned three times a week.
Do high-rise offices cost more to clean?
Usually a little, because of sign-in, badges, service elevator windows and the certificate of insurance the building requires. The difference is the time those take, not a premium for the address.
Should the cleaning company supply toilet paper and soap?
It’s often simpler, because the crew restocks as they go and nothing runs out between deliveries. Ask for consumables to be listed as a separate line so you can see what you’re paying for them.
